If the ID has meaning as an identifier rather than a quantity, store it as text and format the column accordingly.
Numbers are quantities you intend to compute: Amount, Units, Score, Duration. The common error is mixing symbols in the same field (e.g., “$1,200”, “1200 USD”, “1200”). Choose one: keep the numeric value in a numeric column, and store currency as a separate column if needed. This enables reliable sums, averages, and comparisons.
Dates and times must be real date/time values, not strings like “Last Friday” or “3/4/24” with ambiguous month/day meaning across regions. Standardize to an unambiguous format (often ISO-like YYYY-MM-DD) and confirm the spreadsheet recognizes them as dates (so sorting truly sorts chronologically). 3) Allowed-values checks. For category columns, list distinct values and compare to the allowed set. If “Status” should be {Open, In Progress, Closed}, then “close,” “CLOSED,” and blank should be corrected or flagged. This is where you prevent label drift over time.
4) Cross-field logic. Some columns must agree. If Paid_YN = “Yes,” then Paid_Date should not be blank. If End_Date exists, it should be on or after Start_Date. These checks catch the classic spreadsheet problem: columns filled independently by different people.
5) Spot-check sampling. Randomly review 10 rows against the original source (email, system export, form). This is a low-effort way to catch systematic conversion issues (like dates flipped month/day or currency symbols stripped). If your sample reveals an issue, assume it exists elsewhere and fix the process—not just the sampled rows.
Even clean values can fail if the structure is hostile to analysis. This milestone is about making your sheet behave like a dataset: one header row, no merged cells, and no embedded subtotals. These rules sound strict, but they are exactly what makes downstream tools reliable.

If you have a report layout where a region name is merged across multiple rows, replace that with a proper Region column filled on every row. Every row should be self-contained: if you copy a single row to another sheet, it should still make sense.
No subtotals inside the table. Subtotal rows (like “Total Q1”) are reporting artifacts. In a dataset, they become fake records that inflate sums and confuse models. Keep raw records only. Generate totals with pivot tables, summary sheets, or charts that reference the dataset.
One fact per cell. Resist stuffing multiple pieces of information into one cell, such as “High - Needs review” or “$1200 (approved).” Split into separate columns: Priority = High; Needs_Review = Yes; Amount = 1200; Approval_Status = Approved. This makes grouping and filtering accurate, and it reduces the chance an AI assistant misinterprets parenthetical notes as part of the category.
The final milestone is documentation: a simple “data diary” that records what you changed, what you assumed, and what the dataset is for. This is how you create a small, trustworthy dataset that can be reused—and how you protect yourself when someone asks, months later, “Where did this number come from?”
